This policy explains what personal information SimpleShuttles LLC (“SimpleShuttles,” “we”) collects through this website and our phone line, how we use it, and who we share it with.
What we collect
- Information you give us: your name, email address, and phone number, and your trip details: pickup, drop-off, and stop locations, dates and times, number of passengers, vehicle choice, luggage, accessibility and restroom needs, whether alcohol will be on board, the amenities and paid extras you ask for, and any notes. If you tick the texting box, we also record that you agreed to receive text messages, and when.
- Payment information: Stripe processes your card. We don’t receive or store your full card number; we keep a record of your payments and refunds. If you pay your balance by bank, Stripe verifies your account through Stripe Financial Connections when you sign in to your bank. Stripe shares your bank’s name, its routing number and the last four digits of the account with us, never your bank login or your balances and transactions. If you pay with cryptocurrency, PayPal processes the payment from your wallet. We receive a record of the payment, not your wallet’s keys.
- How you use the site: the pages you visit, the steps you take when booking, and basic device and browser information, collected by our analytics tool and our hosting provider’s logs.
- Chat messages: if you use the chat assistant on our site, the questions you type, the answers it gives, the page you asked from, and your approximate location (country and state, from your connection).
- Phone calls: when you call us, we record the call and keep a written transcript of it.
- Prices you ask for: when you get an instant price, we keep the trip details you entered and the price shown, without your name or contact details, under a random browser identifier, so we can see how many prices lead to bookings. We delete these within about 90 days unless you save or book that quote, in which case they stay with it.
- To show your exact price: the email address or mobile number you give us, or the email address on the Google account you choose. We save your price as a quote under it, so you can book it later at that price. If you tick either box there, to hold off emails or calls until you book, we keep that choice, and when you ticked it, with the quote.
- Limits on prices: to stop abuse, we count how many prices each network address and each email address, phone number or Google account asks for in a day. We keep only a scrambled (hashed) form of those, never the address or number itself, for up to 7 days.
How we use it
- To price your trip, take your booking, and arrange it with an operator.
- To email you your quote and a link to it, and to email you about your booking: confirmations, operator and driver details, payment reminders, and receipts.
- If you agreed to texts, to text you about your quote and trip (see “Text messages” in our Terms). Reply STOP to any text to stop them.
- To follow up on a quote you started but didn’t book.
- To answer the questions you ask our chat assistant, and to read those conversations so we can improve its answers and our service.
- To keep an accurate record of what we discussed when you call us.
- To prevent fraud, keep required business and tax records, and improve the site.
Who we share it with
- The operator running your trip: the trip details and contact information it needs to run your trip.
- Service providers that work for us: payment processing (Stripe for cards and bank payments; PayPal for cryptocurrency, which receives your name, your trip’s route, and the amount), email delivery (Resend), phone calls and text messaging (Telnyx, which also records and transcribes our calls), website analytics (PostHog), hosting, database and call-recording storage (Vercel and Neon), and our internal team messaging (Slack). We also send the pickup and destination you enter, including partial text as you type it, to a mapping service (Google Maps Platform, or the U.S. Census Bureau’s geocoder when Google isn’t available) to suggest places and estimate trip distance and driving time. Our server makes these requests, so Google doesn’t receive your name, contact details or device information from them. When we show a map of your route, your browser loads that map image straight from Google, so Google receives your device’s IP address and browser details along with the two ends of the route, but not your name or contact details. If you use our chat assistant, what you type in it goes to Anthropic, whose AI model writes the answers. Our server sends only the conversation, not your name, contact details or device information, so please don’t type payment details or other sensitive information there.
- When the law requires it, or to protect the rights and safety of our customers, operators, or us.
- If our business is sold or merged, to the new owner, under this policy.
We don’t sell your personal information.
We don’t share your mobile phone number with third parties or affiliates for their marketing or promotional purposes. Your agreement to receive text messages, and the record of it, is excluded from every kind of sharing above and is never shared with any third party.
Cookies and analytics
Our analytics tool uses cookies and similar browser storage to recognize return visits and understand how the site is used. If you sign in to My trips, a sign-in cookie keeps you signed in for up to 30 days, or until you sign out. If you sign in with Google, Google shares your Google account’s email address with us, and we use it only to find your quotes and trips, or to save the price you asked for. Once you’ve seen your exact price, a cookie remembers that quote for up to 30 days, so the prices you ask for next are saved to it. Two small cookies of our own remember how you first found the site (the referring site and any campaign tags in the link you followed) and the random identifier for the prices you asked for and your chats with our assistant; both last up to a year or until you clear them, and if you save a quote they go on it. When you open a saved-quote link from one of our emails, we note which email it came from and when, so we can tell which emails are useful; we don’t track whether an email was opened. You can block or delete cookies in your browser settings. Our site doesn’t currently respond to “Do Not Track” browser signals.
How long we keep it
We keep your information for as long as we need it to provide our service, keep business and tax records, and resolve disputes. We keep chat conversations with no end date, so we can review them and improve the assistant. We remove card numbers before a conversation is saved. To have a conversation deleted, email legal@simpleshuttles.com with roughly when you chatted and what you asked.
Your choices
To see, correct, or delete the information we hold about you, email us at legal@simpleshuttles.com. We may need to keep some records, such as payment history, where the law requires it. To stop quote follow-up emails, email support@simpleshuttles.com. To stop text messages, reply STOP to any of our texts.
Security
We use reasonable safeguards to protect your information, but no website or system is completely secure.
Children
This site isn’t directed to children under 13, and we don’t knowingly collect their personal information.
Changes to this policy
If we change this policy, we’ll post the new version here with a new “Last updated” date.
